Welcome and Thank You for choosing to be a participant in the National Women's Show, MONTREAL. Please take a moment to read the exhibitor manual, which will provide you with all of the necessary information to help make your participation in the Show more profitable and enjoyable. The Show Office will be set up at the Palais des Congrès, on Friday April 8, 2010 at 8 am and management will be available to assist you for the duration of the Show.

Language of communications

All signage may use the languages in which the event is conducted. For an event targeted to the general public, the use of one or several other languages, in addition to French, is optional provided the French is "clearly more predominant".

EXHIBITOR MOVE-IN INSTRUCTIONS

Thursday, April 8, 2010       8:00 am - 8:00 pm

Exhibitors will not be permitted to set up during show hours.

LOADING DOCKS
Please note that the loading docks are located on Saint-Antoine W. between Jeanne Mance and St Urbain.

VEHICLES ON THE SHOW FLOOR

  • All fuel tank openings of vehicles and other internal combustion engines on display should be locked or sealed with tape to prevent the escape of vapours(except for tanks that have never contained fuel.)
  • Fuel tanks of vehicles on display should not be more than one half full or contain more than 10 gallons of fuel
  • Battery cables must be removed from the battery. When a battery is not needed to start the engine, spark plugs should be removed.
  • Vehicles may not be moved during show hours.
  • Fuelling or defuelling of vehicles are prohibited inside the building.

During move in hours, show management will accept shipments on your behalf. These will be left on the dock until you arrive. If you require assistance moving your supplies from the dock to your booth by forklift, one will be available.

PRESHOW SHIPPING TO FREEMAN
NOTE: Palais des Congrès will NOT accept shipments prior to the Show move-in time.

We recommend that you use Reimer if you need to ship prior to the show. As the official show carrier they will warehouse your materials for up to 30 days prior to the show and deliver to the show on move - in day.

EXHIBITOR MOVE-OUT

Sunday, April 11, 2010     5:15 pm - 10:00 pm

Please note that move-out will begin once the show has closed and the aisles are cleared at approximately 5:30 pm. To avoid waiting in line, if you are able to carry your supplies out to your car we encourage you to do so.

Items left on the show floor after move-out is completed, will be forced off the floor and you will be responsible for any charges incurred. To avoid this, all materials must be removed by 10pm.

ALL INCLUSIVE BOOTH PACKAGE

An all inclusive booth package is available which contains a draped booth, carpet, 1 6ft draped table, 2 chairs and an electrical outlet. If you did not order at the time of booking and wish to have this package, please contact your sales rep to order. The attached form is for choosing colours only. You must have ordered the package before submitting this form.

The cutoff date for ordering is March 8, 2010. There are no substitutions with this package.

We have obtained a group rate at the EMBASSY SUITES by Hilton. The rate of $149. for a single or double occupancy is for a Standard Suite and includes a Full Cooked - to - Order Breakfast and Manager's Reception.

When booking, to receive this rate you must mention that you are with the Montreal Women's Show. Rates cannot be changed at check-in/check-out times if you fail to identify your affiliation at the time of booking.

To be guaranteed this rate, reservations must be made by March 9, 2010. After this time, reservations will be accepted on a first-come, first-served basis at the prevailing rack rate.

REFRIGERATION STORAGE

A limited amount of refrigerated storage is available. Please complete the attached form and fax to Christine Barry at (905) 477-7872.

There will be a charge of $50 for the first skid and each additional skid will be $25.00

If you require ice during the show, it is available at the facility for $10 per 10lb. bag. You may bring in your own bags of ice if you want to.

PRODUCT REPLENISHMENT
The loading dock will be open daily from 8am to noon for product replenishment. Please note that vehicles cannot be left on the loading dock.

FOOD SALES AND SAMPLING

If you are planning on sampling a food or beverage product, samples are limited to 2oz or less. Please read the attached information .

There is absolutely no selling of samples. If you are sampling a liquor product you must contact Octavio at (514) 871-3111. Once he has given you permission you must then acquire a permit. Liquor may not be sold by the bottle.

FOOD BANK

Arrangements will be made with a local shelter or Food Bank for any food product remaining after the show closes. All product left in the refrigeration trucks will go to the Food Bank. If you have non-refrigerated product to donate there will be an area on the loading dock where it can be left.

BADGES

Four to six weeks prior to the show, you will be mailed 6 badges per 10x10 booth and 12 badges for a 10x20 booth or larger. Badges will have your company name only. Lanyards will not be included in the package but may be picked up at the show. Please distribute these prior to move-in, to the people working in your booth. If you are unable to do so, bring the badges to the show office during move-in and arrange to have them picked up there. Badges must be worn at all times to gain entrance to the show.

If you want the badges delivered to an address other than the one on your contract, please advise your sales rep.

Shipments may begin arriving February 16 and must be there by March 16. We will have to ship to Montreal so be sure to have your product there on time.

INSURANCE

National Event Management Inc., will not assume responsibility for losses or damages incurred from pilferage or any other causes. Exhibitors should take all possible precautions to protect their own property, including insurance for liability within your booth space.

RULES & REGULATIONS
Booth Display & Restrictions

No exhibit may exceed a maximum height of 8 ft. Side panels 8 ft. high, must not exceed a depth of 4 ft. extending from the back of the display. The remainder of the 6 ft depth from the front of the booth, must not exceed a 4ft. height. Any exception to this must have pre-approval from Show Management.

Prefab booth partitions must be finished on both sides. If they are not, please request drapes prior to the show.

Signage

No signage or material may be extended above the 8ft height at the back of your booth nor hung from the ceiling or across the aisle, without approval from Show Management. All signs must be printed on one side only.

Demonstrations/Distributions

Displays, demonstrations or distribution of advertising materials, are not permitted outside the confines of your booth.

The use of microphones is not permitted without prior management approval.

Fire Regulations

National Event Management is obligated to abide by the Fire Code regulations in each city. We therefore retain the right to refuse any material or object that does not confirm to code. Helium

Helium cylinders are permitted if they are firmly secured by chain to a cart.

Animals on site

Animals are not allowed in the building unless they are used as a working dog for the blind.
