Welcome and Thank You for choosing to be a participant in the National Women's Show, Toronto. Please take a moment to read the exhibitor manual, which will provide you with all of the necessary information to help make your participation in the Show more profitable and enjoyable. The Show Office will be set up at the Metro Toronto Convention Centre, on Thursday November 4, 2010, at 8 am and management will be available to assist you for the duration of the Show.

EXHIBITOR MOVE-IN INSTRUCTIONS

Thursday, November 4, 2010       8:00 am - 8:00 pm

The aisle carpet will be in place Friday morning. Dollies or carts WILL NOT be permitted on the carpet. Hand carried items only may be brought in on Friday morning.

If you are in the following booths we ask that you do not move-in until 6pm, Thursday, November 4.
Booths: 1251, 1253. 1350, 1351, 1448, 1451, 1551, 1550. 1652, 1751, 1851. 649, 748.

IMPORTANT: Food & Beverage products for the refrigerator trucks, should not be delivered before noon on Thursday, November 4. Time is needed to cool the units before putting food in them.

LOADING DOCKS
The loading docks for the South building are accessible off of Lower Simcoe Street, south of Bremner.

MARSHALLING YARD
The MTCC has established a marshalling yard to facilitate a more efficient move-in and move-out process. Vehicles requiring dock access to unload, must report first to the vehicle marshalling area. The yard will be opened 1 hour prior to the scheduled move-in /move-out times.

The marshalling yard is located at 24 Bathurst St. It may also be accessed off of Fort York Blvd. Please see the attached map.

For safety reasons, the Metro Toronto Convention Centre prohibits children under the age of 16 from being in the exhibit hall during move-in or move-out.

Exhibitors will not be permitted to set up during show hours.

VEHICLE STORAGE
If required, arrangements for vehicle storage during event days can be arranged through the docks department. Please call the Dock office @ (416) 585-8345 or (416) 585-8279.

VEHICLES ON SHOW FLOOR
All vehicles must have management approval before being allowed on the show floor.

All vehicles being displayed in the MTCC must have drip pans underneath them and pads under all tires.

No motorized vehicle may be operated on carpeted areas, under any circumstances. Exceptions may be authorized by management. If approved, a protective sheet of visqueen, tarpaulin or comparable material is to be used to eliminate damages from leaks of gas, oil, etc.

Fuel tanks containing fuel, or which have ever contained fuel shall be maintained less than ¾ full. Caps or fuel tanks fill pipes shall be of the locking type and be maintained locked to prevent viewer inspection. If they cannot be locked, they will be taped shut.

The electrical system shall be de-energized by either removing the battery, or disconnecting both battery cables and covering them with electrical tape or other similar insulating material. The fuse to the starter must also be disconnected.

Vehicles containing propane may be driven in and positioned. Engine should remain running, with valve shut off. Allow engine to run until all of the fuel in the fuel line is used up. Turn ignition off.

Cylinders for barbecues and/or appliances within vehicles such as stoves, refrigerators, etc. must be empty.

SHIPPING & DELIVERIES TO THE SHOW

The most cost effective way to ship your items to the show is to arrange delivery for Thursday November 4, 2010, during move in hours. You can use our show shipping company (YRC Reimer - see details below) or your own preferred shipper.

NOTE: The Metro Convention Centre will NOT accept shipments prior to Thursday, November 4, 2010.

Show Management will sign for the delivery on your behalf, on Thursday November 4, 2010, during move in hours. Your materials will be left at the dock until you arrive. To move your items to your booth space, pump trucks and dollies will be available for your use, at no charge. If you require a forklift to move your material from the dock to your booth, one will be available at no charge. If you have excessive forklifting needs, please speak with your sales rep as charges may apply.

FREIGHT CARRIER:
If you must ship pre show, we recommend that you use YRC Reimer. As the official show carrier, they will warehouse your materials for up to 30 days prior to the show, at no charge and deliver to the show on move - in day. Your shipment will be left on the dock until you arrive.

EXHIBITOR MOVE-OUT

Please note that move-out will begin once the show has closed and the aisles are cleared at approximately 5:30 pm. To avoid waiting in line, if you are able to carry your supplies out to your car we encourage you to do so.

Your exhibit space consists of a draped booth only. Exhibitors are responsible for providing carpet or other floor covering for their booth. Stronco Show Services is the show decorator and they can provide carpet as well as any other booth accessories that you might require. For assistance or cost estimate please contact Stronco.

BOOTH ACCESSORY PACKAGE

An all inclusive booth accessory package is available. This package includes black booth drape, charcoal booth carpet, 1 6ft draped table (Black Skirting), 2 chairs and a standard electrical outlet. You will find prices on your contract. If you did not order at the time of booking and wish to have this package, please contact your sales rep. (905) 477-2677. The cutoff date for ordering this package is October 20, 2010.

Do not complete service forms for items included in this package.

Substitutions to this package will not be accepted.

EXHIBITOR PARKING

A discounted parking pass is available if you are parking two consecutive days or more. Please complete the form and return to MTCC.

We recommend that you pre-order your pass. The number of parking passes available will be limited, to accommodate all activities going on at the MTCC. To be assured that you have a pass, please place your order early. Onsite passes can be purchased at the service desk on the show floor, only until the show opens and while passes are available. After that, NO PASSES WILL BE SOLD. Parking passes are to be picked up at the Exhibitor Services counter in the exhibit hall during event move-in. After the service desk is closed, passes can be picked up at the closest Parking Office. The Parking Offices are located next to the exits in the parking garages (level 5 of the north building and level 600 of the south building.) The parking passes are required to exit the garage. Exhibitors coming into the parking garage without their pass should have at least a photocopy of their order form because once the garage is full, nobody can enter without a pass.

The parking garage for the South Building is accessed off of Lower Simcoe St., south of Bremner. If the South Garage is full you may also park in the North Building, which you will enter from Simcoe St., south of Front Street.

There is an internal walkway joining the two buildings.

FOOD SALES AND SAMPLING

All exhibitors sampling or selling food or beverages must complete a food sampling form to be returned directly to the MTCC.

Sampling Form

Food exhibitors are required to have a 'hand washing station' with soap and paper towels, sneeze guards where required and hand sanitizers within their booth. There will be 3 hand washing/prep stations with soap and paper towels in the World of Taste.

Refrigeration space is available. Freezer availability will depend on the demand for such. If you require space, please complete the attached form and send it to Susan Wood.

PRODUCT REPLENISHMENT
The loading dock will be open daily from 8am to noon for product replenishment. Please note that vehicles cannot be left on the loading dock.

FOOD BANK

Arrangements will be made with the Daily Bread Food Bank for any food product remaining after the show closes. All product left in the refrigeration trucks will go to the Food Bank. If you have non-refrigerated product to donate there will be an area on the loading dock where it can be left.

EXHIBITOR BADGES

Four to six weeks prior to the show, you will be mailed 6 badges per 10x10 booth and 12 badges for a 10x20 booth or larger. Badges will have your company name only. Lanyards will not be included in the package but may be picked up at the show. Please distribute these prior to move-in, to the people working in your booth. If you are unable to do so, bring the badges to the show office during move-in and arrange to have them picked up there. Badges must be worn at all times to gain entrance to the show.

INSURANCE

National Event Management Inc. will not assume responsibility for losses or damages incurred from pilferage or any other causes. Exhibitors should take all possible precautions to protect their own property, including insurance and liability insurance for within your booth space.

RULES & REGULATIONS


Notice to Exhibitors

Attached is a notice to Exhibitors from the MTCC. Please read this and pay particular attention to items 1 & 2, to avoid any unnecessary charges.

Booth Display & Restrictions

No exhibit may exceed a maximum height of 8 ft. Side panels 8 ft. high, must not exceed a depth of 4 ft. extending from the back of the display. The remainder of the 6 ft depth from the front of the booth, must not exceed a 4ft. height. Any exception to this must have pre-approval from Show Management.

Prefab booth partitions must be finished on both sides. If they are not, please request drapes prior to the show.

Signage

No signage or material may be extended above the 8ft height at the back of your booth nor hung from the ceiling or across the aisle, without approval from Show Management.

All hanging signage MUST be single sided unless you are on an island or peninsula booth.

Demonstrations/Distributions

Displays, mascots, demonstrations or distribution of advertising materials, are not permitted outside the confines of your booth.

Microphones

The use of microphones is not permitted without prior management approval.

Fire Regulations

National Event Management is obligated to abide by the Fire Code regulations in each city. We therefore retain the right to refuse any material or object that does not confirm to code. Helium Balloons

Written permission must be given to use helium balloons in your booth.

Animals on Show Floor

Animals, with the exception of working dogs, are not permitted in the MTCC except as an approved exhibit requiring the use of animals, in which case an animal authorization form must be completed.
